Commercial office buyer's guide

Security buyer's guide — commercial office & hybrid workplaces

Lobby, floor, amenity, and IT-room coverage for single- and multi-tenant offices. Plus access control tuned for hybrid schedules.

6 minute read

Modern offices operate on a hybrid calendar, integrate with HR and identity tools, and host vendors and visitors in ways the original access systems weren't designed for. Most commercial-office security refreshes are really identity-and-access refreshes with some cameras attached.

Compliance at a glance

Four KPIs to benchmark.

Mobile credential usage
> 70% of workforce
Deprovisioning time
< 30 seconds from HRIS event
Visitor audit
100% pre-registered
IT access correlation
Every event tied to video

Priorities

What matters most, in order.

  1. 01Mobile credentials

    Phone-based access, Apple/Google Wallet support.

  2. 02HRIS integration

    SCIM-based, automatic provisioning and deprovisioning.

  3. 03Visitor management

    Pre-registration, self-check-in, audit trail.

  4. 04IT / server-room logging

Named credentialed access with video correlation.

Access, not just locks

Mobile credentials solve the 'card in the kitchen drawer' problem. Bluetooth or NFC phones make credentials easier to issue, revoke, and audit than any physical card system.

SCIM integration with your HR platform (Okta, Azure, BambooHR, HiBob) means access rights update automatically with role changes. This is the single biggest operational win from a modern system.

Schedules that reflect hybrid

Fixed 7am-to-7pm door schedules don't fit a hybrid workforce. Modern platforms support event-driven schedules: doors unlock on first badge-in, lock on last badge-out, and skip days based on HR calendars.

Meeting-room access can be tied to booking systems — visitors get a time-boxed credential good only for the floor and room they're expected in.

Tenant amenities & shared spaces

Multi-tenant buildings need per-tenant data segregation. Your floor's access logs should not be visible to another tenant, and the building's common-area cameras should be separate from your floor's.

Shared amenities (gym, rooftop, parking) need scheduled-access logic — a tenant credential that works only during the building's published hours.

RFP / vendor checklist

Use this to evaluate any quote.

  • Mobile credentials deployed

Apple Wallet / Google Wallet, with fallback physical cards.

  • SCIM HRIS integration live

Tested onboarding and offboarding on a real role change.

  • Visitor management platform

Integrated with access, producing a retained audit trail.

  • Event-driven door schedules

First badge-in unlock, last badge-out lock, holiday calendar.

  • IT / server-room coverage

Dedicated credentialed access + camera correlation.

  • Tenant segregation

Per-tenant access data isolation documented with landlord or PM.

Red flags

Walk away if you see these.

  • Access system uses only plastic cards with no mobile option.

  • No HRIS integration — terminations still handled via email to an office manager.

  • Visitor process is a paper log at reception.

  • Access logs shared across tenants by default.
